How to Order

Step 1: Request a Quote (replaces the Order Form):

Order Form:

The previous OARnet online order form has been discontinued due to the high volume of changes in products and pricing.

  • The quote now becomes the order form once completed, signed and submitted, along with a PO, to OARnet for processing.

OARnet has contracted with Carahsoft to support Quote Requests. You may contact Carahsoft directly to request a quote at: oarnetvmware@carahsoft.com; or you may contact your VMware TAM for assistance in developing your quote:

VMware Dedicated Technical Account Managers (TAMs) are full-time cross-functional advisors that work with your organization to develop a comprehensive understanding of your business objectives to assist with properly licensing your VMware environment.
Please Note: A Quote is not an Order without a PO or Credit Card Authorization. OARnet must be in receipt of a PO, or Credit Card Authorization, to process an order!

Step 2: Procure Payment (to process the order):

Note: A PO or Credit Card Authorization is required to procure VMware through OARnet!

Credit Card Payment:

Credit Card payment is accepted at time of order placement for a maximum of $10,000. Provide credit card information to the OARnet Business Office (614-292-9381) prior to order submission.

Purchase Order (PO):

To facilitate processing, please ensure the quote number is referenced, and the Vendor address on the PO is made out to:

  • The Ohio State University, dba OARnet
    1224 Kinnear Rd Columbus, OH 43212
  • If the address is incorrect, this may delay your licensing.
  • State Agencies: OAKS Vendor ID 678 and Address ID 160

Step 3: Submit to OARnet for Processing:

  • Submit a completed and signed (net new & upgrade orders) order form, along with a PO, to OARnet for processing: oarnetvmware@oar.net.
  • Upon review, you will be alerted of any action items or emailed a confirmation (from Carahsoft) with a timeline for completion.

Step 4: Billing and Remittance:

  • OARnet invoicing occurs the month following order fulfillment.
  • Remittance must be made to the invoiced addressed:
    • The Ohio State University, dba OARnet
      1224 Kinnear Rd Columbus, OH 43212
  • Checks are made payable to “The Ohio State University, dba OARnet”.

Support
OARnet clients receive VMware's Production-Level Support & Subscription (SnS), the highest level of support, at the lowest price. OARnet customers may select the renewal period that best accommodates their needs: 1-, 2- or 3-year maintenance terms are available for perpetual licenses; and, a 1- or 3-year term for AirWatch. Training & Certification

VMware Education provides training and certification programs to build your knowledge and expertise. For more information, please log in to mylearn.vmware.com.

Professional Services Credits, or PSO credits are available at discounted pricing to acquire VMware Training, Consulting Services and VMworld registration. The consulting services and training may come from either VMware directly or a vendor who accepts PSO credits as payment. PSO credits purchased through OARnet only expire upon consumption.

TAMs
As an added benefit, OARnet customers receive VMware Technical Account Manager (TAM) post-sale support at no additional cost. VMware TAMs deliver access to VMware experts and tools to help optimize the performance of your implementation. This service includes complimentary VMware Health Analysis and Best Practice Review, Product Information, Upgrade Planning, Support Escalations, MY VMware Portal Permissions, and monthly Newsletter.
Carahsoft
To meet the demand for VMware and to supplement the OARnet team, OARnet has contracted with Carahsoft to assist with OARnet VMware account management, functioning as the single-point-of-contact for quoting and order processing. Through this arrangement, OARnet customers enjoy many benefits, including a simplified ordering process and proactive VMware Support and Service (SnS) renewal quoting, with the option to Co-Term to a single maintenance renewal date. OARnet Clients are also encouraged to utilize the VMware TAMs prior to requesting a service quote from Carahsoft to determine their needs.

Sole Source Renewals

The policy for any entity renewing VMware software or service purchased under the Ohio State University VMware Enterprise License Agreement (ELA) administered by OARnet, can only be renewed through OARnet. New VMware license(s) purchased under this contract, either directly through OARnet or through an Authorized Vendor, are technically the property of OARnet for the duration of this agreement. Upon the event of termination, the license(s) shall be transferred to the End User to seek renewal outside OARnet.

ORC

The State of Ohio does not have a state contract number or STS (State Term Schedule) associated with VMware. The State of Ohio is utilizing an existing Ohio Revised Code as their purchase authority for VMware: ORC 127.16(D)(23).

VMware Escalation Avenues / Perpetual Support

  • Your VMware support team always provides the appropriate resources and level of focus to ensure a timely resolution to your request. If you are not satisfied with the progress of your support, you can request an escalation. By invoking the escalation process, additional levels of VMware management attention, procedure reinforcement, and resource prioritization are brought to bear on resolving your support issues.

    You can escalate a support request at any time either by speaking directly with the technician assigned or by requesting to speak with a Duty Manager/Regional Escalation Manager.
    We highly recommend that you contact VMware Support by telephone for escalations. This ensures that your request is directed to the appropriate resources as soon as possible to achieve a successful resolution.
  • The severity level of a support request can be increased without an escalation if the business impact of a support request has changed or was not correctly recorded initially.

Direct Vendor Option

This program, managed by Carahsoft, enables OARnet clients to procure VMware and AirWatch software and services, including PSO training credits, through a certified vendor at OARnet rates. This option can simplify the ordering process for OARnet customers wanting to combine VMware with other hardware, training, consulting or software purchases.

Because partners are restricted to new sales only, maintenance and subscription renewals for software and services purchased under this option are renewed through OARnet, and co-termed into your existing maintenance plan, as an additional benefit.

Carahsoft certifies that all dealers participating the permformance of this contract have agreed that their performance will be in accordance with all terms and conditions of the OARnet Carahsoft-Partner contract.
